EV Access relies on Proaction to better manage daily rental car operations across multiple locations.

Phoenix-based rental car company EV Access is determined to set the standard for borrowing electric vehicles in the greater Southwest region of the US. Founder Justin Pappan started the company after finding early traction on Turo, a popular car sharing platform. Today, their operation spans three locations and over 240 vehicles. As the company grew, Justin realized that managing operations with manual spreadsheets, phone reminders, and sticky notes was not feasible at scale.

A New Era with Proaction

Justin sought a solution and found Proaction, a tool designed to connect data sources and provide interfaces tailored to his specific fleet type. Unlike other fleet management tools that offer a one-size-fits-all approach, Proaction understands the unique needs of various fleet operations, creating customized interfaces for each type of operator.

"The use of Proaction has transformed our operations," Justin Pappan said. "We went from struggling with manual processes to having a streamlined, automated system that has drastically improved our efficiency."

Centralized Data for Streamlined Operations

With Proaction, EV Access eliminated the need for manual spreadsheet tracking. The platform introduced live data ingestion, which streamlined daily operations in key areas:

  • Routine Maintenance Tracking: By ingesting live vehicle data, Proaction helps track and schedule routine maintenance more effectively.
  • Daily Task Management: Integrating reservation data sources from multiple sources allowed his team to efficiently manage their daily tasks while providing insights into employee performance.
    • Fun fact, their team member Clay set the record last month with 83 tasks completed in one day!
  • Automated Transaction Tracking: Proaction's AI receipt submission tool automates transaction tracking at the time of completion, reducing the manual, end-of-month entry errors for their finance team.

Tailored Interfaces for Different Fleet Types

Proaction's unique approach includes creating customized interfaces for different fleet types. While Justin uses the rental car interface, Proaction also understands the specific needs of other fleet operations, such as commercial trucking rentals, and builds relevant interfaces tailored to those needs.

"Proaction's ability to cater to different types of fleets sets it apart," Justin explained. "The rental car interface is perfectly suited for our needs, but I know that other fleet operators, like those in commercial trucking, have interfaces designed specifically for them."

Data-Driven Decision Making

For EV Access, having a reliable source of truth for all fleet operations is crucial. With Proaction, the company can quickly identify trends and apply those insights to improve operations.

"Data is at the heart of our business decisions," Justin said. "Whether it's fleet management, maintenance, or customer service, we rely on the data shown on Proaction every single day."

Since adopting Proaction, EV Access has nearly doubled its fleet size while hiring at a significantly slower pace. The efficiencies gained have allowed the company to grow sustainably.

Proaction's Impact on Increased Efficiency and Reduced Labor Costs

The implementation of Proaction has enabled EV Access to increase its fleet size without a proportional increase in staff. The company has more than doubled its number of cars (from 93 to 243) while only adding two full-time employees representing a 96% increase in the number of cars each employee can manage. This improved employee-to-vehicle ratio demonstrates Proaction's ability to drive growth and scalability by integrating data and automating processes across its interfaces.

Proaction has significantly reduced labor costs for EV Access. By eliminating the need for three team members to spend two hours daily on Asana rental and fleet related tasks, the company is saving an estimated $26,520 annually. By implementing Proaction, their team has reduced the number of needed software, and streamlined internal operations across each office location.
